Operation Executive

Department : Commercial/ Residential Site

Schedule: This is a full time position.

​

Job Summary:

You will be responsible for one of the busiest roles in the office—the Facility Executive (Administration). Constantly on the go, you’ll give our Business unit a warm welcome, supporting facilities, and In other words, you will set the benchmark in giving our company a good first impression supporting facility team. Throughout the day you will support general office admin/facilities duties, as agreed with property manager, in order to facilitate the efficient service delivery and team functioning. Identify and suggest improvements to administration processes and procedures.


Required Experience and Skill Set:

  • You will have a Degree / Diploma or relevant educational background in hotel management / hospitality with min 1 to 2 years of work experience preferred.

  • Effective communication skills and customer-oriented service outlook is non-negotiable.

  • Should be physically fit and mentally robust.

Major area of responsibilities and Key Duties:

  • Maintaining aggressive hospitality outlook with clients need.

  • Cooperating, coordinating and communicating with other departments.

  • Maintaining and surpassing the standards of dress, hygiene, nametags, uniform and appearance of the staff members.

  • Trained to respond to the emergency situations and contact proper authorities for emergencies.

  • Communicating courteously with the Residents by telephone, email and face-to-face interactions.

  • Generating performance reports to present to the management on monthly basis.

  • Prioritize, analyze, route and resolve problems in a timely manner.

  • Making Residents aware of non-accessibility an under construction site/unit.

  • Taking/Producing minutes of weekly and monthly meetings.

  • Maintaining feedback and complaints procedures for residents to use and keeping them updated on the status of complaints.

  • Performing all the work assigned by the Property Manager as deemed necessary to maintain and operate the property at optimum level.

  • Providing a comprehensive Property Management service to ensure all the amenities and resourced and maintained to high-class industry standards.

  • Ensuring all the services are performing as per the Standard service specifications.

  • Ensuring preparation of property management budgets and performing collections.

  • Managing budget efficiently and yield cost savings without compromising the quality of service.

  • Maintaining site accommodation and services through contractors and direct labour in cost effective way.

  • Ensuring quality of Staff, appraising and developing them to ensure maximum contribution.

  • Proactive liaison with local and local municipal authorities.

  • Advice management to insure compliance with basic statutory requirements like licenses, permits etc.

  • Ensuing all the client deliverables are submitted in timely manner.

  • Overseeing all the vendor proposals.

  • Ensuring that entire staff maintains the critical eyes on the all the aspects of properties physical care.

  • Advising management on budgeting and formulating suitable budget controlling.

  • Formulating strategic directions towards effective management of property operation.

  • Providing suitable business controls & administrative policies and processes.

  • Ensuring the company policies and procedures are consistently applied to required standards.

  • Managing on-site staff and associated relevant staff employment issues.

  • Overseeing the budget, billing and ensuring the timescales are met and review accounting information to ensure accuracy.

  • Carrying out regular site visits to ensure all the buildings are in good order.

What we’re looking for:

We’re looking for a self-motivated and quick-thinking FE (Soft)/ Workplace co-ordinator who can solve problems using quantitative methods and holistic approaches. You will need to be a goal-oriented individual who’s an ace in health and safety requirements, vendor management and property technical systems management. Self-motivated with an aptitude to work without direct supervision and willing to take the initiative. Effective time management with the ability to work under pressure and meet demanding deadlines.
